The Administrative and Clinical Placement Assistant provides administrative support for the School of Nursing and is responsible for a variety of activities that may include any of the following: 


  • May serve as the first point of contact for the department; greet visitors and callers; triage incoming calls and inquiries 
  • Facilitate the clinical placement of students in a specific school, department, or academic program
  • Assist with the onboarding of all students for each clinical placement
  • Maintain a database of all student absences from clinical assignment
  • Maintain data regarding student requirements, including CORI certification, health clearance and immunization status
  • Ensure that affiliation agreements are on file for each clinical site
  • Assist in the development of clinical site schedules and/or course for the assigned students
  • Maintain the clinical partner database
  • Assist Clinical Placement Coordinator in identifying clinical placement opportunities through the Massachusetts Centralized Clinical Placement website
  • Type and send attestation letters to each respective clinical site indicating MCPHS compliance with agency standards as per Affiliation Agreements
  • Arrange for clinical faculty orientation to MCPHS and to respective clinical course
  • Verify that contract is in place for faculty (clinical adjunct or all faculty)
  • Verify licenses for all clinical adjunct faculty
  • Assist with onboarding (i.e., scheduling) of all clinical adjunct faculty for each clinical placement
  • Assist core faculty in developing site monitoring schedules 
  • Prepare typed reports, memorandums, and meeting minutes
  • Record notes at staff meetings as requested
  • Arrange and coordinate room, catering and other provisions for departmental meetings, events and ceremonies
  • Supervise student workers if indicated
  • Assist in the preparation of related course materials (e.g., course packs, syllabi, course evaluations)  
  • Process student course/lab and faculty/adjunct evaluations. 
  • Prepare itineraries and assist with coordination of faculty/staff candidate interviews if requested 
  • Manage inventory of department supplies
  • Generate and track purchase orders
  • Process invoices for payment; track department expenditures
  • Assist with office mailings; sort and distribute mail
  • Confirm faculty availability for academic schedule
  • Serve as liaison to the Office of the Registrar
  • Point of contact to update MCPHS SON-Boston Website as needed

Additional responsibilities may be assigned by the supervisor.




  • A minimum of a high school diploma and two years of experience in an administrative support position in a professional setting
  • Proficiency in the use of computers including MS WORD, Excel, Powerpoint and Outlook
  • Excellent organizational and communication skills
  • Strong interpersonal skills
  • Ability to maintain confidentiality and ensure accuracy of work
  • Ability to work in a fast-paced environment, set priorities and meet deadlines.



  • A bachelor's degree or equivalent experience
  • Evidence of success in a customer service role
