    Responsibilities

    The Administrative Assistant for Clinical Education provides administrative support for all of the activities related to clinical education in the Doctor of Physical Therapy Program and works closely with the Director of Clinical Education and the Academic Coordinator of Clinical Education.

     

    • Coordinate all correspondence related to the placement and compliance of approximately 120 students per year into their full time and part time clinical experiences at sites across the country
    • Maintain and operate the Clinical Education database by creating tables, forms, queries and reports
    • Generate reports as needed for clinical site  availability, placement, contracts, and confirmations
    • Monitor and tracking with database for clinical education contracts and affiliation agreements
    • Assist the Director of Clinical Education/Academic Coordinator of Clinical Education with the clinical placement process
    • Organize and maintain information on all clinical sites to assist students in choosing clinical sites
    • Assist students with information and preparation of documents during the clinical placement process
    • Collect students’ assignments for each Clinical Education Experience
    • Track and follow-up with students regarding missing assignments, program requirements, CORI and background check issues, cardiopulmonary resuscitation (CPR) cards, health requirements, etc.
    • Develop and maintain database to input Clinical Performance Instrument (CPI) results for each class cohort
    • Develop and maintain database to input/track Clinical Instructor (CI) credentials to generate reports as needed by the Director of Clinical Education/ Program Director
    • Prepare clinical education program evaluations, CPI results, credentialed clinical instructor reports and other reports for the Doctor of  PT Curriculum Committee
    • Communicate with other departments within the University regarding affiliation agreements, liability insurance, registration, event setup, etc.
    • Update New England Consortium of Clinical Educators master database, as needed
    • Communication with advisory board members and assistance with planning and organization of advisory board meetings, attend meetings to take notes.
    • Generate reports for Program Director and Director of Clinical Education as needed for accreditation reports
    • Follow-up with clinical faculty to ensure the return of appropriate clinical education forms
    • Maintain and upload course documents onto Blackboard
    • Assist with planning and management of practical exams
    • Track and issue vouchers for continuing education courses
    • Support students and clinical faculty with access to PT CPI Web
    • Maintain Student Success Time and exam schedule for the Doctor of  PT Program
    • Maintain inventory for the Doctor of Physical Therapy Program
    • Manage designated projects and events as assigned.
    • Create and distribute annual Doctor of Physical Therapy newsletter
    • Oversee social media and online presence for Doctor of Physical Therapy Program

    Additional responsibilities may be assigned by the supervisor.

    Qualifications

    Required:

     

    • BA/BS degree, preferred
    • Minimum 3-5 years experience in a professional office setting
    • Must be proficient in Microsoft Office software  and database management, specifically Excel and Access
    • Strong written and verbal communication skills
    • Honesty and integrity with high professional standards
    • Ability to maintain confidentiality of information,
    • Must be able to handle multiple priorities proficiently
    • Strong interpersonal and organizational skills
    • Effectively manage multiple ongoing projects, deadlines, and ability to be calm and adaptable in stressful situations.
